Maintenance Manager Responsibilities
A maintenance manager ensures equipment, facilities, and infrastructure remain safe, reliable, and available to support business operations. Their responsibilities span planning, execution, compliance, and continuous improvement to minimize downtime and control costs.
1. Maintenance Planning & Scheduling
- Preventive maintenance: Develop and maintain PM schedules based on manufacturer recommendations, usage data, and risk assessments.
- Work order management: Create, prioritize, assign, and track work orders to ensure timely completion.
- Resource allocation: Plan labor, spare parts, tools, and external contractors to meet maintenance demands.
2. Team Leadership & Development
- Staff supervision: Recruit, train, mentor, and evaluate technicians, mechanics, and support staff.
- Shift coordination: Organize shifts and on-call rotations to provide necessary coverage.
- Performance management: Set KPIs (e.g., MTTR, MTBF, schedule compliance) and run regular reviews to drive accountability.
3. Asset Reliability & Performance
- Condition monitoring: Implement vibration analysis, thermography, oil analysis, and other predictive techniques.
- Root cause analysis: Lead investigations into repeat failures and implement corrective actions.
- Reliability improvements: Apply RCM (Reliability-Centered Maintenance) and continuous improvement methods (5S, Kaizen, PDCA).
4. Budgeting & Cost Control
- Budget preparation: Forecast maintenance labor, materials, and contractor costs; justify capital expenditures.
- Cost tracking: Monitor spend against budget, identify cost-saving opportunities, and manage inventory turns.
- Vendor management: Negotiate contracts, evaluate supplier performance, and manage warranties.
5. Safety, Compliance & Documentation
- Regulatory compliance: Ensure maintenance activities meet industry regulations and environmental standards.
- Safety programs: Enforce lockout/tagout, permit-to-work, PPE, and other safety procedures.
- Documentation: Maintain accurate maintenance records, SOPs, and equipment histories for audits and inspections.
6. Technology & Systems Management
- CMMS administration: Oversee the computerized maintenance management system—data integrity, reporting, and user training.
- Digitalization: Lead adoption of IoT sensors, mobile maintenance apps, and dashboards for real-time visibility.
- Data-driven decisions: Use KPIs and analytics to prioritize projects and justify investments.
7. Shutdowns, Turnarounds & Projects
- Project planning: Coordinate preventive shutdowns, turnarounds, and major repairs with production and contractors.
- Safety & quality control: Ensure project work follows specs, schedules, budgets, and safety requirements.
- Post-project review: Capture lessons learned and update maintenance plans accordingly.
8. Communication & Stakeholder Management
- Cross-functional coordination: Liaise with operations, procurement, engineering, and finance
